Responsible for the financial and accounting operations of the institution. Positions in this job family develop finance-related policies, manage financial risk, and ensure compliance. Activities include assisting in the development of the university’s goals and strategic objectives by analyzing and preparing recommendations for financial plans, including annual resource allocation, forecasting, modeling, and short and long-term financial planning. Requires functional expertise of specific financial reporting systems that contain relevant data for monitoring the institution’s, college’s, division’s, and/or department’s performance against budget and/or financial targets. Produces regular, accurate and timely financial reports for internal and external reporting and decision-making purposes. May include activities related to developing, implementing and monitoring accounting systems, policies and procedures.

Sub Family

Manages and performs work in general financial accounting activities of the institution. Activities include financial transaction recording standards, control/reconciliation of accounts and records, cost accounting/budgeting, and accounting reports/schedules for internal audiences (management reporting) and for external audiences (compliance reporting). May include administrative/transactional accounting support work, such as ledger maintenance and data entry.

Administers the institution’s creditor and debtor accounts. Manages or performs work in some/all of the following areas: Accounts Payable invoice verification, payment authorization and processing, reconciliation of accounts payable ledgers to identify improper charges, validate transactions, and ensure accurate and timely payment of amounts due, Accounts Receivable invoice generation and verification of customer credit approval, Accounts Receivable payment processing and application to customer balances, and Accounts Receivable age analysis and reporting.

Analyzes financial information and produces management reports for internal and external reporting and decision-making purposes. Information analyzed includes inventory, costs, revenue, expenditure, cash flow, profitability, operating performance, and budgets.

Monitors cash teller operations, student billing and receivables, collections and customer service. Oversees all functions of the billing, collection, deposit, disbursement, and record maintenance of student accounts. Maintains accurate financial records.

Ensures financial compliance at the institution by identifying, documenting, and implementing internal financial controls including:

  • Ensuring compliance with regulatory requirements in accordance with regulatory directives.
  • Coordinating processes to document and communicate with senior management, internal audit functions, external auditors, and the accounting function.

Manages institution’s grants and awards. Coordinates and manages application process from application receipt to close-out for grants, awards, charitable contributions, and independent research grants. Ensures grant money is used according to the terms of the grant. Maintains records of grants, tracks funds/expenditures, and prepares reports. Reviews grant programs to ensure adherence to corporate, government and industry guidelines.

Determines investment strategy, analyzes alternative investments, and recommends appropriate investments. Prepares reports on investment transactions and status for submission to management. Determines portfolio allocation and manages cash and securities including both debt and equities.

Ensures employees are paid accurately and timely with correct withholding and deductions. Activities include calculating overtime, shift payments, accounting, distributing, and preparing taxes and deductions, maintaining payroll records, preparing reports for management or to meet legislative obligations, legislation, or other regulatory instruments, preparing and distributing pay information to faculty, staff and student workers, and answering questions regarding payroll matters.

Responsible for work associated with obtaining goods and services for all types of business processes applicable to the institution including indirect operations (e.g., office supplies, computers, travel, maintenance, machine parts, etc.) and direct operations. Activities include product/service sourcing, supplier selection, pricing/terms negotiation, order processing, contract administration, and supplier performance management.

Manages the institution’s taxation affairs. Performs work in some/all of the following areas: calculation of tax liabilities, tax form preparation, and external filing/reporting; research, analysis, and interpretation for purposes of tax compliance, planning, and optimization; tax-specific transaction recording and record maintenance; consultation with external consultants and agencies on tax matters.
