2020 Winter Holiday Calendar and Payroll Procedures

In accordance with President’s DeGioia’s announcement, December 21, 22 and 23 have been designated as University Holidays this year.

The winter holidays require some special considerations, including early payroll deadlines.  Please read below for detailed instructions and processing deadlines for the end of the year.

  • In light of the updated holiday calendar, previously submitted time off requests for December 21, 22 and 23 will be automatically canceled and the impacted employees’ paid time off balances will be restored accordingly.
  • No action is required of these employees or their managers.
  • The deadline for using Fall Floating Holidays has been extended to the end of the fiscal year (June 30, 2021).

  • All biweekly and monthly employees will be paid on Wednesday, December 23.
  • Please note that Friday, January 15, 2021 is the next pay date for all biweekly employees.

  • The year-end holidays necessitate early submission and approval of employee timesheets for the pay period December 14 through December 27.
  • Timesheets for this period must be approved NO LATER THAN 5 p.m. on Thursday, December 17 for payment on Wednesday December 23, as noted in the payroll calendar.
  • In order to facilitate timely submission, timesheets for the pay period December 14 through December 27 are available for completion in GMS today.

  • In order to meet the approval deadline, employees must submit estimated hours for the period Friday, December 18 through Sunday, December 20.
  • 40 holiday hours will be automatically loaded and approved for December 21 through December 25.
  • 40 holiday hours will be automatically loaded and approved for the week beginning December 28.
  • The automated submission of holiday hours will be completed by Friday, December 11.

  • In order to meet the approval deadline, employees must submit estimated hours for the period Friday, December 18 through Sunday, December 20.
  • Holiday Part-Time hours MUST be entered for any holidays for which a part-time employee is scheduled to work for the week beginning Monday, December 21.
  • Please refer to the Holiday Timesheet Procedures in GMS for detailed instructions for entering holiday part-time hours.

  • Managers who will not be working the week beginning December 14, 2020 must delegate their inboxes to assure the continued processing of time submission and payroll.
  • Timesheets for this period must be approved NO LATER THAN 5 p.m. on Thursday, December 17.

Hourly Employees

  • Full-time and part-time hourly employees should refer to the Holiday Timesheet Procedures in GMS for detailed instructions for entering time worked on a university holiday.
  • Please refer to the university’s Holiday Policy  for administrative staff and AAPs.

Salaried Employees

  • Salaried employees can submit a paid time off request using the Holiday Compensatory Time to account for any holiday(s) worked.
  • This time off must be taken within the same fiscal year (i.e. prior to July 1, 2021).
