Classification Methodology

Once all materials are received (see process outlined below), the compensation department will review all submitted materials and conduct a thorough job analysis and audit to ensure the following:

  1. The proposed position title is appropriate for the position responsibilities to be performed, and for the employee’s qualifications. For newly created positions, we will determine a comparable job and title based on similar positions within the University, or if none exist within the applicable industry. 
  2. The proposed salary range is appropriate based on the following:
    • Position responsibilities are in line with proposed salary grade,
    • Proposed pay grade is in line with the University’s internal salary structure, i.e. the level of job responsibilities for proposed position is similar to other positions within the University which have the same pay grade assignment, and
    • Proposed pay grade is in line with the pay for similarly situated positions in the external market.
  3. The proposed salary rate is in line with the pay of other employees in the same position who have similar education/experience levels within the department and University.
  4. In the case of proposed position reclassification, the employee’s past performance ratings are  acceptable at department levels as documented through performance evaluations.

Classficiation Process

Create a New Position

All new positions on the Main Campus must be reviewed, classified and graded by the Compensation Division of University Human Resources. This process must be completed prior to recruiting.

  1. Complete a Position Justification/Recruitment Request form.
  2. Attach a Position Description (PD) and an Organizational Chart for the department in which the position will be housed.
  3. Submit the completed Position Justification/Recruitment Request (PJRR) form to the Senior Business Manager/Finance Partner for review.
  4. If approved, forward a signed copy of PJRR and all supporting documents to hrclassification-mc@georgetown.edu
    • Please note that processing will commence only when all required documents are received.
  5. The Compensation Division will produce a Classification Memorandum within a week, depending on the complexity and volume of the requests, following the receipt of the PJRR and all supporting documentation.
  6. The Classification Memorandum will be forwarded to the department contact as well as the Human Resources Generalist responsible for the requesting department.
  7. The Generalist will be able to assist with recruiting. An overview of the recruiting process can be found here.

Reclassify a Position

Reclassification of existing positions is instigated by significant job change in which higher level duties and responsibilities are performed. The Compensation Division of University Human Resources is responsible for reviewing reclassification requests.

  1. Complete a Position Justification/Recruitment Request form.
  2. Submit the form along with the following documents:
    • Reclassification Analysis (completed by the incumbent’s supervisor)
    • Original Position Description
    • New Position Description
    • A recent Performance Evaluation (no more than 2 years old)
    • Organizational Chart
  3. If approved, forward a signed copy of the  documents PJRR and supporting documents to hrclassification-mc@georgetown.edu
  4. The Compensation Division will produce a Classification Memorandum within two weeks, depending on the complexity and volume of the requests, following the receipt of the PJRR and all supporting documentation.
    • Please note that processing will begin when all required documents are received.
  5. The Classification Memorandum will be forwarded to the department contact as well as the Human Resources Generalist responsible for the requesting department.
