Hiring Non-Georgetown Students Who Are Minors

EMPLOYMENT OF NON-GEORGETOWN STUDENTS WHO ARE MINORS (UNDER THE AGE OF 18)

Before the employment start date for a non-Georgetown student who is a minor (under the age of 18), the requirements of Georgetown University’s Protection of Minors Policy must be met. The Supervisor of the minor employee needs to notify the Office of Compliance and Ethics (OCE) at protectionofminors@georgetown.edu and provide the following information:

  • minor’s name;
  • the name and net ID of the Supervisor;
  • the name of the department;
  • the intended employment start date (and end date, if it is a term position);
  • and a brief description of the work the minor will be doing.

OCE will advise the Supervisor of his/her obligations under the Protection of Minors Policy.

A completed Work Permit is required before hiring a non-Georgetown student who is a minor. The Work Permit must be from the jurisdiction where the student will work. For departments located in the District of Columbia (DC), the Work Permit must be obtained from DC Public Schools (click on the work permit link below, for more information).

Non-Georgetown students should be paid at the same rates as Georgetown students. See the section Selecting GMS Job Profiles and Compensation Grades (new window).  Write the comparable student Job Profile on the Job Description.

The following forms must be submitted to the Human Resources Department  through GMS when hiring a Non-Georgetown student who is a minor:

Note: District of Columbia law imposes requirements and restrictions on the employment of minors, including a work permit requirement and a prohibition on the employment of those under the age of 14. See HR Policy # 206: Employment of Minors.

Please note that a Parental Consent form may be required if the minor will be working in an environment where there are potential health hazards or safety risks. Contact OCE at protectionofminors@georgetown.edu to inquire about whether parental consent will be needed.

For Non-Georgetown students who are minors (under the age of 18) hired on Main Campus, the Law Center or in University Services, the Job Description should be retained in the department (see GUMC Minors procedure, above, for MED hires). The Employment Application and the Work Permit should be uploaded into GMS by the department’s HR Contact (HRC) as part of the business process at the time of hire.
