2025 Winter Holiday Payroll and Time Entry Procedures
The winter holidays require some special considerations, including early deadlines for payroll and time entry. Please read below for detailed instructions and processing deadlines for the end of the year.
The final pay date of 2025 is Friday, December 26 for biweekly paid employees and Monday, December 31 for monthly paid employees. The first bi-weekly pay date of 2026 is Friday, January 9.
The year-end holidays necessitate early submission and approval of employee timesheets for the pay period December 8 through December 21.
Timesheets for this period must be approved NO LATER THAN 5 p.m. on Tuesday, December 19 for payment on Friday, December 26, as noted in the payroll calendar.
In order to facilitate timely submission, timesheets for the pay period December 8 through December 21 are available for completion in GMS today.
In order to meet the approval deadline, employees must submit all hours worked no later than December 19th.
For employees who are scheduled to work the weekend of December 20th and 21st all hours must be submitted as soon as the work day is ended and managers must approve by 10 am December 22nd.
In order to meet the approval deadline, estimated hours must be submitted and approved by December 19th for the period Tuesday, December 8th through Sunday, December 21st.
Managers who will be out of the office prior to the start of the University’s winter holidays should delegate their inboxes to assure the uninterrupted processing of timesheets and payroll.
Timesheets for this period must be approved NO LATER THAN 5 p.m. EST on Friday, December 19th.
Full-time and part-time hourly employees should refer to the Holiday Timesheet Procedures in GMS for detailed instructions for entering time worked on a university holiday.

Salaried Employees
Salaried employees can submit a paid time off request using the Holiday Compensatory Time to account for any holiday(s) worked.
This time off must be taken within the same fiscal year (i.e. prior to July 1, 2025).
