HR-GMS-Instructions for Time Sheets for Hourly Employees

The Biweekly Payroll Calendar provides key date information such as pay periods, time entry deadlines and pay dates.

General Instructions: Employees who are paid hourly can enter their start and end times for hours worked directly into GMS via employee self service (PC, Mac, iOS or Android) and submit those hours for approval from their Timekeeper/Manager. Each work day, the employee must enter the specific times starting and ending work. Specific times must include the times stopping for lunch and returning from lunch; please note that two rows must be added each work day in GMS to accommodate time entry for lunch.  Do not enter times for paid breaks.

Hourly Staff and AAPs will log in to GMS and enter the hours directly into the system. The Manager or Timekeeper will approve total hours worked in GMS. For detailed instructions please see the GMS Training Website for Employee Self Service.

Hourly paid employees who use a time clock will not be required to complete the paper Time and Attendance Sheet for Hourly Employees or enter hours into GMS.  The Timekeeper will enter and approve totalhours in GMS based on time cards submitted.

Hoya Staffing Temporary Employees will complete Hoya Staffing’s weekly online time sheet rather than a paper time sheet.  A copy of the approved online time sheet will go to Hoya Staffing, the employee, the assignment supervisor, and the timekeeper. Please note that in order to be paid for these hours, the employee must also log in to GMS and enter the hours into GMS.  The Manager or Timekeeper will approve total hours worked in GMS.

Georgetown University Student Workers’ hours are entered as Time In/Time Out into GMS. For further details on the process and instructions please see the GMS Training Website for Hourly Student Self Service.

Hourly students with multiple positions: The Primary and Secondary Timekeepers will enter into GMS all hours worked for the position residing in their respective areas.
